Letter to Suggest a Solution to a Company’s Problem

Letter -1

It is to inform you that our [x] Company has been going from a great loss for the last three months. This is much unexpected for us. Our Company has been working in import and export for the last fifteen years.

This is the first time that we take so much loss in the past few months. Our company’s CEO works very hard for the betterment of the company but due to this constant loss our CEO is in great shock and unfortunately, his condition is also not good for taking stress. We all have to work together to resolve this problem as soon as we can.

I have some suggestions for the loss. I assure you that we can regain the amount of the loss.

  1. Our XYZ Company should cancel the big projects with other states and start working with the small market with affordable prices.
  2. We should buy things according to our budget and sell them with two percent profit.
  3. We should give sales on our bigger products. From doing this we can earn more profit.
  4. Also, we can sell our company’s extra furniture for the payment.

If we can work together on this plan, we surely go through this hard time, but we will have to stay united and patient.

I hope that you like my suggestions and ideas. If you like it then we will arrange a meeting and inform all the employees about it. For further queries, you can contact me on [X]. Moreover, you can also send your message via email at [X]. I hope you will like my idea. I am looking forward to your response. Thank you for your precious time. Best wishes.

Letter -2

I am writing this letter to inform you about the present situation of our X Boutique. Our X Boutique is the most famous in the city, but we are at a loss for the last two months due to Covid-19. Our new stock is still the same, not a single product has been sold out. If our boutique will work in such a state, it will completely shut down after months and our hard work will be wasted. We will have to do something to make a solution to this problem.

I have some ideas and suggestions for this loss.

  1. We should sell our new products with fifteen percent off.
  2. We should take more orders at an affordable price.
  3. We should launch a new product that will attract the attention of the public.
  4. We should give sale on our high products. It will increase the publicity. Moreover, we can work from door to door with cheap and affordable home delivery charges.
  5. We should hire quality staff to work home to home for the marketing of our product. Also, we can use different social media platforms for online marketing purposes.

I hope you like my opinion and give respect to my suggestion and idea. If you like my idea we can freely arrange a meeting and discuss all the scenarios with our other colleagues. For further information, you can contact me on [X]. I am waiting for your positive response. Thank you for your time. Good luck.

When you are working in a company or you are an old customer of a company, you may find the company facing several problems during its working. Giving the solution to the company’s management is a tricky task. The suggestion should be given in a respectable tone and the letter should be very precise. Try to explain the situation where you saw the problem arising and the letter should be convincing so that the reader can pay attention to it.

Also, suggest calling the meeting in order to elaborate on your suggestion in more detail. There should not be any criticizing words in the letter rather it should reflect the concern of the writer. The solution along with some specific details should be given in the letter. You can also ask for feedback from the reader in order to know if your suggestion has been accepted or not.

Letter -3: Short format

I am a little concerned about my sales team. The company gives two months of training to the employees and there is only one month of work which puts the company at the loss. The hiring process of the company should not be based on two months of training.

I suggest that there should be some changes in the hiring process of the company. The employees should be bound to work with the company for at least one year. Hiring new employees frequently affects the performance of the company. I hope that you will take my suggestions into consideration and will provide the opportunity to solve the problem.

Letter to Request for Permanent Position

In order to get a job in a permanent position, you have to write a letter to the head of the company requesting the transfer of a temporary job position to a permanent position. You have to prove in the letter that you deserve a permanent position in the company on the basis of your qualification or experience.

You can prove it by writing all your achievements during your job when you were in the temporary position. Give your personal details such as your qualification, past experience, and skills level.

Also, tell your position in which you have been working in the company. Write what you have learned throughout your career. Since the letter is the requesting letter, the tone of the letter should be positive and gracious. Also, state that you are thankful for being given the job in the temporary position in the company and will be more thankful for the permanent position.

I was hired as a sales manager in the company for a temporary job in November 2035. I had a great experience working in your company. There was a huge impact on the sales of the company when I joined it. I worked hard day and night for boosting the sales of the company.

Therefore, I believe that I should be given an opportunity to serve the company permanently. I assure you that I will never disappoint the company management with respect to my responsibilities.

I am now interested in working for the same job position on a permanent basis. I want you to have a look at my resume and consideration.

As you know I have been working as a contract employee in your company for the last two years. I have been given a great opportunity to work with your company and now I am looking forward to continuing it for a longer period. I am writing you today because I am interested in the full-time position of marketing research officer which has recently been advertised on the company’s website.

I personally request you to have a look over my performance during the contract period and promote me to a permanent position. I believe this is the right time because the position you advertised purely fits my qualification. You know very well that my marketing strategies helped the company to increase its revenue by 70 percent. Finally, we have been able to see our listing as the number one construction company.

Since the first day of my appointment, I have performed to my full potential and made the best use of my abilities. I know that I will have to undergo some standard procedures to secure a permanent position.

I express my willingness to go through that screening process either in the form of an interview or a screening test. I have learned a lot while staying here as a contract employee. I believe that the commitment I showed to achieving the company’s goals would make me a suitable candidate.

I would appreciate it if you spared some time out of your busy schedule to consider my application. I am looking forward to getting a positive and timely response from you.

Thanking you in anticipation.

You know I have been a part of this company for more than five years. The time I spent here was full of new experiences and great learning opportunities. I was given opportunities to polish the skills that I needed to become an efficient worker. This is the right time when I am feeling that I need to become a permanent part of your company.

I believe that my performance was consistent throughout my job period and I performed at my best in the sales department where I was assigned a target to increase sales by fifty percent. I designed various unique campaigns that proved beneficial for the company.

Consequently, these strategies led to the highest ever increase in sales. The best campaign which I spearheaded was that of new-year sales last year. It acted as a primary catalyst towards achieving the highest ever sales target. Apart from my performance in the field, I have a spotless office record to my credit which will act as a testimony of my loyalty to this company.

Due to the above-mentioned facts, I hereby forward my request to offer me a permanent position in the marketing department. I would like to get all those benefits which the company offers to its permanent employees. I believe my performance has not been less than theirs.

I am comfortable that my tenure has given me a lot more opportunities to acquire knowledge about how a company works. In addition, I have polished my skills to become an effective leader. If you regularize my services, I have many ideas to share with you regarding the expansion of the company’s sales.

I hope you will spare some time to review my humble request. I would appreciate the opportunity to sit and discuss with you this matter further. I am waiting for your positive response in this regard.

Thanking you in anticipation.

Job Refusal Letter to Company

When you are not accepting a job offered by a company for any reason, writing a rejection letter is the right thing to do. Declining the job offer verbally is not a practical act and it is good to write a letter.

The purpose of writing the letter is to let the reader know that you are turning down the job offered by them. The letter should be short and no important information should be missing from it. The conciseness and the briefness of the letter should be maintained.

A job refusal letter should be written immediately after you have made the decision of rejecting the job so that the employee can hire someone else. There is no specific format to be followed in the letter, however; the letter should be written in such a way that professional touch can be seen in it. The tone of the letter should be positive and it should reflect that you are not being rude or arrogant.

The letter should be polite so that the doors for future opportunities remain open for you even after rejection.

Job Refusal Letter to a Company

Thank you so much for offering me the job for the post of assistant manager in your company. I regret that I am declining your offer. Although there are many opportunities for me in your company to grow and prosper, I have chosen another company to work in because they offer me a better job related to my skills and a better salary package.

I really enjoyed meeting you and your team. You had been very kind to me in the interview and I wish that I could work with you.

Best wishes for your company’s success.

Declining an offer

Thank you for your offer of employment as a senior financial analyst in the Accounting Department of [Company Name].

I am honored to have received the offer; I was very impressed with the company and everyone I dealt with during the interview process. However, I regret to inform you that I have decided not to accept the job offer.

[I have instead decided to return to school to seek a graduate degree in business administration; I believe this will qualify me for a management position, which is my goal.] -optional detail

I wish you the best of luck in filling the position. Please pass along my thanks to the search committee.

[I hope (Company Name) will once again consider me a top candidate for employment after I receive an M.B.A two years from now] -optional detail

Letter of Acceptance for Employment

Regardless of whether you’ve acknowledged a job offer over the phone, it’s significant to write a formal acceptance letter. Expressing in writing your understanding of the conditions of employment will help eliminate any misunderstandings before they can grow out of control.

Your employment acceptance letter is not an agreement, but if any legitimate question ever arises over the conditions of your occupation, it definitely cannot hurt to have your comprehension of those terms in writing. For one thing, it supports your professional approach. It also provides you the opportunity to document a few essential things about your new job, such as your title, supervisor, salary, and advantages.

In contrast, it can’t hurt to be additional cautious when starting a new position with a new company. Keep the job acceptance letter positive, professional, and short.

However, the order we received on [date] from you was for [quantity]. In case of any further queries, please feel free to contact Mr. [name] at [email address] or call him at [phone number].

Yours sincerely,

In businesses, sometimes an error occurs in official documents, project files, company journals, etc. If such an error is reported or is caught by the relevant persons themselves, a formal announcement should be made, confirming that the error will be corrected. Some errors are minute to be ignored but in businesses, nothing should be taken for granted. Even the minute errors when they are corrected with full responsibility prove the level of professionalism of that business’s professionals.

In such a letter, where an announcement is made regarding the correction of an error, a tone of confession and apology should opt especially when the error could have serious consequences. For example, if a business submitting its quarterly report makes an error, this can be a real-time problem for them. Or the errors in the financial transactions, project estimation, etc. can cause real damage to the reputation of the business. It is, therefore, important to write letters of confirmation of correction of errors if such an error is pointed out.

Dear [enter recipient],

After yesterday’s meeting, the meeting minutes were distributed among all the participants. Today I was informed by Mr. [enter the name of employee] about a mistake in the project’s total estimated amount. A digit is missing which is making the total amount half a million less than the actual amount. I am shocked that no one else caught this huge error including myself. I would like to confirm that this error will be corrected and that fresh copies of the minutes will be distributed among you. Thanks to Mr. [enter employee name].

Maternity Leave Approval Letter Samples

With every passing year, more and more women are joining the workforce. Most rules and regulations are the same for both genders, there are yet some matters in which special privileges are granted with respect to gender needs and requirements. One such is maternity leave. Maternity leave is a temporary leave that is granted to expected mothers for the term before and after the birth of their child.

Most businesses follow a specific maternity leave term, others may differ in their policies regarding permitting maternity leaves. The good health of an employee is what is required for good performance. Since after childbirth, it takes a time to rebuild health, the purpose of maternity leave is to give the employee the time to set herself well for work and to allow a mother-child bond to build.

Since it is not only for the benefit of the employee but also for the ultimate benefit of the business itself, it is recommended to grant maternity leaves to mothers well in the time when they ask for it. This letter can be used to send approval of maternity leave to an employee.

With regard,

Online shopping is not always a good experience. Sometimes you have to face disappointment due to it. A wrong or damaged product is sent to you and it gets worse when you have no choice to return it. In most cases, the service providers keep the option of returning the product in case it is wrong or damaged. If you experience such a shipment, it is always recommended to contact the company and return the product along with a detailed letter mentioning what went wrong.

Letter -3

I ordered seat covers from your company. I was happy to receive my parcel quite early though to my utter surprise the cover was not what I had ordered. I ordered for [enter what you ordered] while I received [enter what you received]. I am very much disappointed with your services. It could possibly be a mistake I know but I just did not like what happened to me. This is not merely a complaint letter.

I am sending back these seat covers to you. Hopefully, you’ll receive the parcel soon. Please refund me so that I could buy the seat covers of my own choice from somewhere else. I don’t want to extend my expectations with you but I will be happy to receive the shipping cost that I now have to spend on this return because after all, it was your mistake.  Many thanks!

Letter from Client to Cancel Insurance Policy

There are several insurance companies that are providing different kinds of insurance policies including life insurance, car insurance, property insurance, etc. All insurance companies have their own rules and regulations. Once a person chooses an insurance policy, he is bound to keep himself within the rules.

Though everyone chooses to take an insurance policy with his own choice, people sometimes want to cancel their insurance policy due to different circumstances. There could be many reasons. A company with better services might have been found, the money to submit for insurance bills might not have been sufficient or a person might be considering insurance a burden.

In all such cases, one has a choice to cancel his insurance at any time. For this purpose, a letter to the insurance company is written to request the cancellation of the policy.

Please allow this letter to represent my formal demand to cancel our insurance policy with your company. I availed myself of your premium insurance policy plan and was using it since January 20XX.

As of recent, my company has suffered massive financial loss due to the pandemic. The revenue has been at an all-time low and unfortunately, I am unable to continue with this insurance policy plan. The reason is none other than that my company can simply not afford it any longer.

I have been struggling to pay the premium on your policies and unfortunately must cancel our plan with you with immediate effect. I regret to have to make this decision, but I have to look for an alternate plan which my company can afford.

Please know that I do not give permission for any of the two insurance plans I was availing previously to take money from my corporate account. Any amount taken after 22nd December shall not be with my permission and your company will be liable to pay it back.

In addition, I would also like to request to please pay back the unused premium of my policy which amounts to 1000 USD. I would like to have your representative explain to me the legalities of withdrawing from the insurance policy midway. Thank you so much for your cooperation. Looking forward to hearing from you.

Ms. Annabelle Cortez.

Dear Mr. Selinez Johnson,

I am writing to inform you that I have decided to withdraw from my insurance plan with effect from 27th January 20XX. My policy number was 9372788372 and I was put in effect from 1st January 20XX. I had to make this decision because I found another insurance company that provides the same service as your company but with a lower cover.

I appreciate your service and have been paying my premium regularly for the past two years that I have availed of your services. However, with your ever-rising premium, it has become increasingly difficult for me to pay the amount every month as the pandemic has affected our finances severely.

I have already read the terms and conditions on your website regarding the cancellation of the insurance policy. It was stated that I can cancel with prior notice of one month and will be paid back the unused portion of my premium.

Keeping in mind your company policies, I am contacting you one month prior to the cancellation to avoid being fined. Please process my request as soon as possible so that payment is not deducted from my account for the month of January.

In addition, I would really appreciate it if you could please send me the official confirmation of the cancellation of my insurance policy within two weeks of receipt of this letter. Also please let me know how I can get the refund on my premium which is unused. Please notify me if you need any more information regarding the cancellation of this policy. Thank you for your cooperation.

Mr. Jonathan Holmes.

Dear [Recipient’s Name],

I am writing this letter to you regarding my insurance. I took an insurance policy from your company on [enter date]. My policy no. is [enter no.]. I am now requesting you cancel my insurance. It will be encouraging if you please send me the written confirmation once my insurance is canceled.

I know that it will take time though I will certainly appreciate it if the action is taken promptly. Many thanks!

Letter to Suggest a Payment Scheme to a Supplier

No buying and selling take place without the mutual consensus of the seller and the buyer. The seller sells and the buyer buys it because he agrees to pay the demanded price. Since the prices or the buying and selling rules are not fixed always, some concessions and alterations can be made depending on the circumstances especially in the case of large contracts.

It can be difficult for the supplier sometimes to deliver products in time or of a particular demand. He can then negotiate with the buyer. Similarly, the buyer may face problems that would hinder his finances and dealings. In such circumstances, the buyer can request the seller such a scheme of dealing that would suit his circumstances better. This letter can be used to suggest a payment scheme to a supplier.

I am writing to inform you that I spoke to your customer care representative yesterday on phone and was informed of your payment procedure. I was told that I would have to place my order three weeks ahead of time as your company imports the items from Malaysia which takes some time.

In addition, I would also have to specify the exact quantity of the products that I need. I wish to inform you that this scheme does not work for me as I cannot ascertain ahead of time how much product I would need. It is a need-based requirement and I place my order only when I am sure of how much product I need. In this case, I cannot inform you any earlier than five days ahead of time.

As I only trust your company with the supply of this product, I wish to continue business with you people. I came up with a solution that is workable on both ends. As of now, I need approximately ten units of the product. So, if you have ten units of the item lying in your warehouse right now, you can send it to me with an extra seven percent charge.

Alternatively, you can also import an extra quantity of this product from abroad and keep them in your warehouse for a future order by me. I will compensate for your effort by paying seven percent extra in addition to the product cost. Let me know if this payment scheme suits you.

Hope you’re doing well and in good health. In continuation to our discussion held on 6th Feb 20XX, I would like to reiterate that your cash on payment method does not suit me. I have been buying items in bulk from your bakery for about a few months now and have really enjoyed the experience except for the payment part.

As I already informed you, I am at a different branch mostly and my assistant receives the items on my behalf. We usually do not have that much cash on hand and therefore it is a hassle to pay on the spot every time there is a delivery from your bakery.

It is my humble suggestion to please consider an online bank transfer payment method for this purpose. I can make payment from anywhere I would be now the delivery is made to our office. In addition, I can also pay in advance if that is suitable for you through bank transfer. If you currently do not take payments via online banking, please let me know if you would consider a cheque made against your name and given to you on the spot.

Kindly let me know which of these options suit you as soon as possible as we need to place another order three days from now. Thank you so much for your continued service and cooperation with our company.

Mr. Benedict Andrew.

I am writing to you in order to have a negotiation on the payment scheme that we decided on last week. After a careful analysis of my budget and the current financial issues that I am facing, I see that the scheme that we discussed will not be suitable for me so I am writing to you another plan which is hereunder:

Is it possible that we divide that payment into three installments? If you allow me to pick up 2/3 of the stock on the first installment and the rest of the stock on the last installment, it will not only be easy for me to pay but will also not burden my finances since I cannot afford to pay in one installment. I expect that this scheme will be suitable for you and I hope this will also not burden you.

Kindly let me know what you say regarding this plan so that we continue by signing an agreement letter at the upcoming meeting. Thank you!

Letter for the Settlement of Outstanding Payment

Letter -1

Re. Settling the Outstanding Amount of $[X] in the Project [ABC]

Dear [NAME], I am [NAME], the [POSITION] from the [COMPANY]. I am writing this to you on the behalf of the company’s accounts and sales management. This letter seeks a solution to the outstanding payment of $[X] on your end in the project [ABC]. This letter would try to settle the outstanding payment and make the payment convenient for both parties. In the settlement, the interests of both of the parties have been considered and none has been sidelined for the monetary benefits.

According to the project report compiled on [DATE], our company was to prepare your project [PORJECT NAME], for which a payment of $[X] was done in the shape of a down payment of the project. The project was initiated on [DATE] and it was concluded on [DATE]. The project has already been delivered to your project management team on [DATE] but no payment has been made yet. An amount of $[X] has been lying in arrears according to invoice no. (xxx).

The relevant department had already provided another deadline for the payment of the arrears but no payment has been made yet. According to the resources, we have come to know that your company’s internal management has been disruptive, therefore, there are delays in the project actions and payments. Moreover, it has been realized that your company is not in the position of repaying the amount of $[X] at once.

The management of the sales and accounts has expressed great remorse and exasperation on getting no response from your team. To cater to this, we have decided to make the payment by framing an installment plan of six months with an interest of [X] percent. This will not only make the payment easy for you but will also compensate for the lost value of the company’s realization.

Please respond to me at [EMAIL] or call at [PHONE] to confirm the plan attached as Annex-I. In case of no response, our company shall be impelled to take strict legal actions. Thank you.

Polite Letter to Ask for a Salary Range Upfront

A polite letter to ask for a salary range upfront without giving a negative impression is a letter that is written by a candidate who is considering a job opportunity at a certain organization. It is addressed to the employer of that organization. In this letter, the candidate attempts to inquire about the salary range for the vacancy he has applied to or wants to apply to.

However, usually, this letter is written when the interview and selection processing has initialized, and the potential employer is acquainted with the candidate, and the candidate wants to know about the salary range to weigh the pros and cons of the opportunity. Nevertheless, it is important, that the candidate’s letter should not give a negative impression, and it should not reflect that the only consideration of the candidate is money.

Employers understand that money linked to a job is one of the important considerations of any individual. However, if they get the feeling, that the candidate is only concerned with money, it will embark a negative impression of the candidate on them. Therefore, when writing this letter, even if the candidate asks about the salary range up front, he should try to do that politely, without showing that he will only make his decision based on the salary range.

When such a letter is being prepared, the information that needs to be included may vary from one job vacancy to another, and from one candidate to another. However, generally, the following details are included in such letters:

  • Date.
  • Details of the potential employer.
  • Details of the candidate.
  • Reference to the job opportunity and candidate’s application.
  • Polite and direct inquiry about the salary range.
  • Provide reason or justification behind this inquiry.
  • Show hope of understanding.

When the potential employer receives this letter, if he gets an impression that the salary is only one of the many factors for the candidate to weigh the opportunity, he will understand the situation and would provide a prompt reply.

However, if he feels, that he does not want to hire an individual, whose sole concern is money, and other factors, like learning, etc., do not matter to him, he might decide to go for another individual. It indicates the importance of the selection of the content for this letter by the candidate, as it may result in getting the required information about the salary range or losing a job opportunity.

Sample Letter

Dear Mr. David,

I am writing this letter about our phone conversation on 5th September 2025, regarding the job opportunity of ‘assistant marketing manager’ at your company ABC Limited.

As I mentioned before, I am currently employed at XYZ Limited. I am undoubtedly interested in this new position, as it seems promising, especially in terms of learning and career progression. However, I wanted to ask about a few things, as it is hard for me to excuse myself from my current employer and take time off work to come for the interview.

It might sound a little upfront but if that is not an issue it would be of great help if you can please tell me about the salary range for this opportunity. As your company office is nearly an hour drive from my home, the salary range would help me in analyzing the feasibility for me.

I hope you understand my perspective. Looking forward to your reply.

Thank you.

Vendor Proposal Acceptance Letter Template

A company writes a vendor proposal acceptance letter to a vendor as a reply to a business proposition made by him earlier.  A vendor may contact a company to provide some service that the company requires and will mention their business terms in a letter. In response, the company may write an acceptance letter in which they will inform the vendor about their agreement for the business. This can also be regarded as an official agreement of business with the vendor.

A company may receive several propositions from different vendors. For example, a company may give an advertisement requiring a cleaning service. Any vendors that can provide the service, local or otherwise, may contact the company through their respective proposals. The company will view the proposals and accept the one that suits them the most and falls within their budget. The vendor then will be sent a proposal acceptance letter through the company for the initial agreement.

What shall be mentioned in the vendor proposal acceptance letter?

This letter is an official document and should be penned down carefully. A company template may be used if that’s available. This letter will contain all the necessary specifics regarding the requirements of the company and the company policies.  Before any work begins, it is important for both parties to have read the company’s conditions and sign the official contract papers.

The following points are important.

  1. This letter needs to be written in a professional and business tone. It should not be treated like an informal letter. A well written proposal acceptance letter may be foundation of a good affiliation between the two parties in the future.
  2. Read the vendors proposal letter carefully before writing this letter. If you have any questions regarding any specific point the vendor mentioned earlier, please do so in this letter. Always avoid making hasty decisions. This can result is massive financial loss to the company later on and may also affect company’s reputation.
  3. You can ask the vendor about any additional particulars he forgot to mention, for example, work hours or number of personnel that would need access to the company building etc. These details need to be discussed before hand so relevant arrangements can be made.
  4. Consider all the proposals before making a final decision. This is very important. Wait till the deadline so you have received maximum proposals from all the potential vendors. Then make a final decision. If you think more than one vendor is suitable for the work, then it is best to judge them based on their previous work record. You may also get in touch with any other company the vendor has worked for previously, to get an idea.

Interior Design Proposal Letter to Client

An interior designer specializes in making indoor spaces beautiful and more functional. They make the best use of the available space and design it in such a way that makes it look spacious and attractive. Many companies hire interior designers to design their office space to suit their needs. Sometimes people hire designers for their personal residence as well.

Before you hire a designer, you need to have a budget in mind. Make sure your budget range matches the rates of the designer you approach. You can view profiles of potential interior designers and have a look at their portfolios and then pick the one that suits your needs the best.

As a designer, when a client approaches you, have all the initial discussion with him about what his exact vision is. Make sure you understand the requirements of the client and his vision. You should also visit the place the client wishes to renovate and get a proper understanding of the space structure and indoor light availability.

After analyzing all the details, you can write an interior design proposal letter to the client. This will be a professional letter with a formal tone in which you can discuss the idea you have for their interior design and your budget bracket too. The following points should be considered while writing an interior design proposal letter to a potential client

  1. Do not exaggerate in your proposal. Do not make tall claims that you will entirely transform the space and will do so in a small budget. Be realistic and make promises that you can fulfil later. Not being able to deliver what you initially promised is extremely unprofessional and ruins the reputation of your brand.
  2. Do not use very technical terminology that may not be understood well by the client. Always remember to treat the client like a layman and put your point across in an easy-to-understand language to avoid any difficulties or misunderstandings later.
  3. Propose a budget that will be suitable for you as well as the client. The budget should be profitable for you as a service provider but also affordable to the client. If you are new to the interior design business, then you should keep your profit margin low to attract clients to you initially.
  4. Remember to write the letter in a polite, convincing, and formal tone. You can also print out a picture of a vision you have in your head about how the space can be decorated, and you can also attach pictures of similar spaces you designed previously so that the client can have an idea.

Following is a sample of an interior design proposal letter to a client.

Sample Letter

Mr. John Gray
Cornwall Street

Mr. Walter Schwartz
Manager Schwartz Interior Designs
East London

Dated: 12th January 20XX

Subject: Interior design proposal letter for [X]

Dear Mr. Gray,

Good day. I’m writing to inform you that after our initial discussion held on 10th September 20XX regarding the interior design of your residence, I have prepared a proposal as per your requirement. We took into consideration the space available, availability of natural lighting, costs, and your budget before preparing this proposal.

We think that we can remove the old furniture you have in that space which is chunky and takes a lot of space and makes the space look small. Instead, we can replace it with lighter colored and smaller furniture. Moreover, we propose that a color scheme of blue and ivory be used for the walls to give them a more appealing and spacious look. The curtains are also very heavy and do not go with the overall look of the room so we have looked for some lighter options which will be more appropriate for the summer.  We propose a budget of $1500 for this vision of ours to be executed well.

We have attached a few pictures with this proposal letter for you to have a look at. These are the pictures of the work we have done previously on similar spaces. Feel free to contact us if you have any more suggestions regarding the design we proposed.

Explanation Letter for Non-compliance

In the corporate world, non-compliance is the inability or failure to complete a task assigned by a client or the authorities. Non-compliance can put you at the risk of jeopardizing your reputation, losing a contract, or even being terminated by the company. Usually, it’s a combination of factors that affect the outcome and not the responsibility of one person. If you have been non-compliant regarding or a task or service you were given, then the best strategy would be to write an explanation letter to the authorities stating valid reasons which led to this non-compliance.

An explanation letter must state reasons that were beyond your control and the ones that can justify the non-compliance. For example, if you were given a contract for construction, then you can state limited funds as a reason for the task to not have been completed within the given time frame. Similarly, any personal reason like the loss of a family member is also a valid reason which can affect the work of an employee.

Always keep in mind that the company has every right to take action against you in case of non-compliance. Make sure to write a convincing letter that can explain the reasons to your employer or your contractor.

Following are important points to consider while writing an explanation letter for non-compliance.

  1. Always be truthful. Never lie in your letter as the company can investigate the matter at any time and it would be an embarrassing situation for you if the lies get caught. It could result in your termination from the company.
  2. Be professional and state the reasons for non-compliance that are beyond your control. For example, do not say that you can’t wake up early in the morning that’s why you couldn’t finish the work on time. Nor can you say that you don’t like a particular team member that’s why you didn’t want to work with them. All of this is very unprofessional and gives a bad impression of your work ethic. State your reasons concisely and clearly and make paragraphs if multiple reasons are to be stated.
  3. Be polite and do not imply that the work cannot be done under any circumstances. If the previous circumstances have been unpreferable, you can always propose an alternative which will help complete the work.
  4. Proofread your letter for any syntax or grammatical mistakes. Also, avoid taking names of employees who have created problems. Instead, just suggest names of any alternate employee that you think would be more suitable for the task.

Following is a sample explanation letter for non-compliance

Sample Letter

Mr. Hayden Shrader
CEO Shrader and Co.

Ms. Skylar Moon
Project Manager
Shrader and Co.

Dated 13th Sept 20XX

Subject: Explanation letter for non-compliance of [X]

Dear sir,

I am writing to inform you that the construction task given to us on 1st August 20XX could not be successfully completed after 45 days as promised. Due to some unforeseen circumstances, the work got delayed and we now request an extension of the contract till the end of September 20XX to complete the task successfully.

I would like to mention that the time of 45 days was proposed keeping in mind a team of 5 employees and 10 work hours per day. However, due to the severe illness of one of the employees and an occupational injury of another, we were short on staff. The work got delayed as there were fewer hands on the job. No other trained personnel were available immediately to replace those employees.

Moreover, an important machine on the construction site was damaged due to a hailstorm on two occasions. The shaft of the machine was destroyed which took a lot of time to fix. This led to much of our funds being used up on the repair and we were left with a sum that was not sufficient to buy the supplies needed.

We apologize for the delay caused but we assure you that we are back on track and will finish the task within the next two weeks. We request you to please send some more funds, details of which are attached therein.

Thank you for your time and consideration.

Complaint Letter for Delay in Project Completion

Dear Mr. Adam,

I am jotting down this letter as a complaint about the delay in project completion on behalf of my teammates. As you know that we had our project ongoing with you that was signed in August 20XX. Six months have been passed now but no developments have come to see till now regarding the project. It was mentioned clearly in the contract and according to your demand 40 percent had been credited to your bank account in advance and it was credited even before the deadline given by you.

You had to start working on the project on the 10th of last month. You were well aware of the details that were stated clearly in the contract and you were also well known for its consequences in case of non-compliance.

Now three more weeks have been passed but still, the work has not been started on the site. You are now supposed to accomplish the assigned project by the 15th of July as mentioned in the contract.

Such kind of irresponsible attitude is not bearable in company’s premises and neither have we expected it. Your company has an esteemed reputation in the town and it is very saddening for all of us that it is lowering to this. I was not contended to send you this complaint letter but if the same practice continues then it will be impossible for us to start the new project. The project that is about to start after this project and the loss that will cause because of the impediment in the coming inspection.

Please start commencing on it as soon as possible or else we will be constrained to draw out our deal with your company and will hire some other company for the same purpose. I hope you will keep in mind what is said to you. Thank you.

Dear Mr. Luther,

This letter is to bring to your notice that we had the ongoing project and it was between your company and my company. The project was decided to be accomplished by 30th May and that date is approaching swiftly. It has come to my notice after a thorough investigation that a lot of work is still due with some bits and bobs. According to the contract between both of our companies, this situation will pave the way for non-compliance. You were fully aware of the outcomes that might result in a case of delay.

This thing has also been reported that your team members were not working adequately for last four weeks. Therefore, to send this complaint letter to you was the need of the hour so you may enhance your abilities and manpower that are required to accomplish the due work in time. Your company is one of the renowned companies in the town and this thing is hard to digest that it is lowering down.

We expect professionalism from your company. If the same continues to occur, then the upcoming project signed with your company will be canceled. I therefore highly advise and recommend you negotiate the matter as soon as possible to elevate the pace of work according to an agreement that was between our companies. I expect prompt action from you in this consideration.

I had also complained to you about all this in the letter that was sent to you previously in January. For your remembrance, I have attached a copy of that with this letter. Kindly concede this letter by giving an adequate and timely reply. Looking forward to a positive reply from your side otherwise, this project will be convoluted.

Complaint Letter to Bank for Unprofessional Services

Sample -1

Re. Complain about the Unprofessional and Negligent Services of the Bank Staff

Dear Sir, with reference to the above-cited subject, I am writing to bring your attention to the matter of unprofessional services I confronted in your bank. I believe that any of the services are determined at their best by professional communication and careful tackling of the clients’ problems.

I am Silver Soyinka from the [X] and I visited your reverend bank to open a saving account in your bank. I wished to do all the prerequisites and required documentation on the same day as I had to leave for a business tour the next day. As per my knowledge, opening a saving account is a very simple and straightforward procedure and it does not require much time to do all the stipulations nevertheless it took my whole day. The behavior of the staff was very unresponsive and agitating.

Moreover, I was told that I will receive my bank pass, checkbook, and my credit/debit card within three working days. It is discontentedly submitted to you that I have not received my aforementioned things even after seven days. When I called the bank, I found no response and a rude hang-up. I am concerned about this misdemeanor and negligent communication along with unprofessional competence.

I am looking forward to your response as being the manager of the bank you are liable to respond to this discordance. More I would like you to investigate the lag of bank pass, checkbook, and credit/debit card. Also, you need to reinstate and contemplate the training of your staff regarding customer dealing. You can contact me at [EMAIL] or call at +[X].

Re. Complaining about the Unprofessional and Irresponsible Behavior of Bank Staff

Dear Manager,

I am writing this letter to complain about the unprofessional and irresponsible behavior of bank staff on 20th March 20XX. I understand that being a regular customer of your bank, I am liable to good behavior, responsible communication, and professional handling of my problems. All the problems related to the bank should be brought to your attention, therefore, I am writing to lodge a complaint against the unprofessional and irresponsible demeanor of your bank staff.

I am Loman Adolf currently working in the administrative sector of the Corporate Finance Company. I visited your bank for the debt payment and a transaction through check. It was really a long process without any considerable reason. So much delay with no reason is quite unprofessional and such slow services are often agitating and irritating.

Unfortunately, I lost the receipt of the deposited amount and of the transaction I made in the bank. I needed the receipt to attach its copy with one of my educational documents. Those documents were to be submitted within three days but without the receipt, documents could not be submitted. Therefore, I requested the bank to issue me another slip on an urgent basis. I also offered all my cooperation for the documentation required for issuance, but they denied it.

The assistant manager asked me to visit the next day and today marks my visit for consecutive two days and still, I could not get the slip. I also got very disappointed with the unprofessional behavior, irresponsible attitude, and misconduct of the bank’s staff on asking for another slip. I request you to look into this matter otherwise I would like to close my account in your bank soon. I am looking forward to your kind response to this lodged complaint.

You can contact me at [EMAIL] or call me at +[X]. Thanking you in anticipation.
